Get Ready for Bookkeeping Coworking: How to Set Up WaveApps, Scan Receipts, and What to Bring

Our coworking session is the perfect opportunity to tackle your bookkeeping tasks! I’ll teach you how to scan receipts with your phone, and I’ll have a scanner and printer available for your use. Here’s a quick guide to setting up WaveApps, scanning your receipts, and a checklist of things to bring.


BEFORE I SEE YOU...

1. Set Up WaveApps

WaveApps is a free and user-friendly bookkeeping tool perfect for managing small business finances. Follow these steps to get started:

  1. Create an Account

    • Go to waveapps.com and sign up for an account.

    • Complete your business profile by adding your business name, type, and other details.

  2. Set Up Your Chart of Accounts

    • Navigate to the “Accounting” tab and click on “Chart of Accounts.”

    • Add or adjust categories to match your business needs (e.g., Revenue, Advertising, Office Supplies).

Step 2: Organize Your Receipts & Bank Statements

During the coworking session, you’ll learn how to scan receipts using your phone or our provided scanner. So you need to bring all physical receipts and I’ll guide you on how to scan and save the scanned files in Wave.

Step 3: Create A List of Assets (optional)

Here is my Asset Tracker Google Sheet, make a copy and start putting all your businesses physical assets in it.

No asset is too small, it's better to have a full list!


DAY OF DON'T FORGET...

What to Bring to the Bookkeeping Coworking Session

To make the most of your time, come prepared with the following:

  1. Laptop or Tablet

    • Ensure your device is fully charged and has internet access.

  2. Receipts and Invoices

    • Gather all receipts and invoices, whether physical or digital. Don’t forget to check your email for e-receipts!

  3. Bank Statements

    • Bring recent bank and credit card statements to cross-check transactions.

  4. List of Expenses and Income

    • Write down or bring a list of major expenses and sources of income if you haven’t already logged them.

  5. Asset Information

    • Note any equipment, furniture, or other assets you’ve purchased, including purchase dates and amounts.

  6. WaveApps Login Information

    • If you’ve already set up WaveApps, make sure you have your login details handy.

  7. Headphones (Optional)

    • If you prefer to listen to music or work in silence, bring headphones to stay focused.


Bonus Tip: Maximize Your Coworking Time

  • Set Goals: Decide what you want to accomplish during the session (e.g., input receipts from the last 3 months).

  • Ask Questions: I’ll be available to help with WaveApps setup or other bookkeeping questions.
